1. Who we are
AVB RaceLabs is a trading name of Stride Innovations Limited, a company registered in England and Wales under company number 10823490 ("we", "us"). We are the controller of the personal data described in this policy, which covers our website, our web portal and our iPhone, iPad and Android apps (the "Services").
For anything about your data, use our contact form and choose Privacy and my data.
The short version:
- We collect what we need to run the Services, and nothing for advertising.
- We do not sell your data or share it with advertisers.
- Our website uses analytics cookies, which you can turn off with one click, and never advertising trackers.
- Your content stays yours. You can delete it yourself, and ask us for a copy at any time.
- We do not use your data to train AI models.
2. What we collect
Information you give us
| Category | Examples |
|---|---|
| Account | Name, email address, profile picture, how you sign in (email and password, or an account you already have with a supported sign-in provider). |
| Driver profile | Name, weight and height (used for ballast and setup calculations), kart class, experience level, race licence number, club or organisation, transponder number, engine and seal numbers, units and time zone, your unique tag. |
| Karts and sessions | Karts, setups, tracks, session dates and times, conditions, lap and sector times, notes and feedback, and any data you have imported from a data logger, which can include the kart's position on track. |
| Pit Kit | Journals, checklists and drawings such as Race Weekends, Engine Hours, Service Log, Spares Inventory, Tyre Sets, Stopwatch & Laps, Track Notes, Incident Log, Points Tracker, Season Budget, Driver Goals, Toolbox Builder, Running Cost, Line Sketcher drawings and Kit Expiry (which records expiry dates, for example of a race licence or medical certificate). |
| Tyres | Tyre records, readings and the photos you take for the AI Tyre Condition reader. |
| AI conversations | The questions you ask the AI Race Engineer and its answers. |
| Teams | Your role (driver, parent, mechanic, coach or manager), membership and approval history, links between a parent and a driver, entries, workshop jobs, and charges, invoices and payments a team records. For team managers: the team's details, including the bank details the team chooses to show its members. |
| Support | What you tell us when you contact us. |
| Early access | Your email address, which platforms you chose, and whether you want to be a beta tester, if you sign up for early access. |
Information collected automatically
| Category | Examples |
|---|---|
| Technical logs | IP address, device and browser type, app version, pages and features requested, errors, and times, used to run and secure the Services. |
| Crash reports | When the app crashes: device model, operating system, app version, the error, and your account identifier (not your name or email). |
| Website analytics | Unless you turn analytics off: pages visited, how you arrived, device and browser type, and approximate location from your IP address. See our Cookie Notice. |
| AI request records | For each AI request: the time, the feature used, your question or input and the answer, and usage counts. Used for security, fair-use limits, fixing faults and managing costs. |
What we do not collect
- We do not use your phone's location services. Data-logger files you have imported can contain the GPS positions of your kart on track; we treat these as location data, keep them with the session, and use them only to show you that session. We remove location data from photos you upload.
- Apart from weight and height, which we use only for ballast and setup calculations, we do not need health information. Some tools let you record health-related details, such as when a medical certificate expires or an injury in the Incident Log. Before you save these, the app asks for your explicit consent, and for a driver under 18 it asks the parent or guardian. We use them only to store them and show them to you. You can withdraw consent at any time by deleting them or by telling us.
- If you unlock the app with Face ID, Touch ID or a fingerprint, that is handled entirely by your phone. We never receive biometric data.
- We do not handle card payments.
Information other people give us about you
- A parent or guardian may add details of a young driver they look after.
- A team manager may add you to a team's roster, link you to a driver as their parent, or record charges, invoices and payments involving you.
When a team adds you to its roster, links you to a driver or records a charge involving you, we tell you in the app or by email what was added, by which team, and where to find this policy. If you have questions, contact us.
3. Children and young drivers
Karting starts young, so we take extra care with young drivers' information.
- Our apps and portal are not directed at children under 13, and children under 13 cannot have their own account. A parent or guardian can record the child's details in their own account to work out ballast and setup, and can link the child to a team so that the team can manage entries.
- When you sign up we ask you to confirm your age. If you are 13 to 17, a parent or guardian must agree to our Terms. We process your data to provide the Services under those Terms.
- We collect only what is needed for the karting features. We show no advertising, do no marketing profiling, and use no third-party trackers.
- A young driver's information is visible only to the parent or guardian's account and, if the young driver is on a team, to the team as described in section 6.
- A parent or guardian can exercise a child's data protection rights on their behalf by contacting us.
4. How we use your information, and our lawful bases
| Purpose | Lawful basis |
|---|---|
| Creating and running your account, and providing the Services you ask for: calculations, journals, sync across devices, teams, the portal | Contract: we need it to provide the Services under our Terms. |
| Running the AI features when you use them (see our AI Policy) | Contract |
| Sharing information within a team you have joined | Contract, and our legitimate interest in letting teams keep accurate records of their members |
| Keeping the Services secure, preventing misuse and fraud, applying plan limits, and fixing faults (including crash reports) | Legitimate interests: running a safe and reliable service |
| Telling you when the app launches and inviting you to test it before launch, if you signed up for early access | Consent (you can withdraw it at any time by contacting us) |
| Answering your support requests | Legitimate interests, or contract where it concerns the Services you use |
| Sending you essential messages about your account, your plan, security or changes to our terms | Contract and legitimate interests |
| Keeping records we must keep by law, such as financial records for paid plans | Legal obligation |
| Website analytics, to understand which pages are useful and improve the site | Legitimate interests: improving our website. You can object at any time by turning analytics off in the cookie banner or on our opt-out page |
| Health-related details you choose to record (medical expiry dates, injury notes) | Explicit consent (UK GDPR Article 9(2)(a)) |
We do not send marketing messages unless you have agreed to receive them, and you can opt out at any time. We do not make decisions about you based solely on automated processing that have legal or similarly significant effects.
5. Who we share it with
We do not sell personal data, and we do not share it with advertisers or data brokers.
We share it only with:
- Service providers who process it on our instructions under contracts that require them to keep it confidential and secure and to use it only to provide their service to us:
- cloud hosting and storage, where your account and content are kept;
- account sign-in and authentication;
- AI model processing, for the AI features you use;
- app crash reporting;
- website analytics, unless you turn analytics off;
- weather and mapping data, which receive track locations, not information about you, although map images and fonts loaded by the apps and portal come directly from those providers, who therefore see your IP address;
- App stores (Apple and Google), which handle app downloads and any purchases made through them, under their own privacy policies;
- Your team, for information you share with a team you have joined (see section 6);
- Professional advisers, such as lawyers and accountants, where needed;
- Authorities, where the law requires it, or to protect the rights, property or safety of our users, the public or us;
- A buyer or successor, if our business or its assets are sold or reorganised, in which case this policy will continue to protect your data.
6. Teams: who sees what
- All members of a team can see the team roster: each member's name, tag and role, when they joined or left, and which parents are linked to which drivers.
- The team manager can also see approvals, entries and calendar, workshop jobs, and every charge, invoice and payment the team records.
- Other members see only their own charges and invoices.
- Your own sessions, lap times, setups, Pit Kit journals and AI conversations are private to you. Joining a team does not share them.
- Membership history is kept as part of the team's records after you leave a team. Charges, invoices and payments recorded by a team are the team's financial records; the team is responsible for them and for deciding how long it keeps them.
7. International transfers
We store your account and content in the United Kingdom. Some of our service providers, including for sign-in, AI processing, crash reporting, website analytics, and map and font delivery, may process data in other countries. When personal data is transferred outside the UK, we make sure it is protected by:
- UK adequacy regulations, which cover the European Economic Area and, for certified organisations, the UK Extension to the EU–US Data Privacy Framework; or
- the ICO's International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, with any additional measures needed.
You can ask us for more information about these safeguards.
8. How long we keep it
| Data | How long |
|---|---|
| Your account and content | While your account is open. When you delete your account, we delete or anonymise your personal data within 30 days, and it leaves our backups within a further 30 days. |
| AI conversations | While your account is open, unless you delete them sooner. |
| AI request records (for security, fair use and fault-finding) | Up to 90 days. |
| Technical logs | Up to 30 days. |
| Website analytics | Up to 14 months. |
| Crash reports | Up to 90 days. |
| Tyre photos | Until you delete the inspection or your account. |
| Team records | As part of the team's records while the team exists. Financial records a team keeps are the team's responsibility. |
| Support messages | Up to 2 years after your request is closed. |
| Early access and beta sign-ups | Until we have sent the launch email, then deleted. |
| Financial records for paid plans | 6 years, as required by UK tax law. |
| Data stored on your phone | On your phone until you delete it or uninstall the app. |
9. Your rights
Under UK data protection law you have the right to:
- access your personal data and get a copy of it;
- correct inaccurate or incomplete data;
- delete your data (see section 14 of our Terms and our account deletion page for how to delete your account);
- restrict how we use your data;
- object to our use of your data where we rely on legitimate interests;
- data portability: receive data you gave us in a common machine-readable format, or have it sent to another organisation;
- withdraw consent at any time, where we rely on consent;
- not be subject to decisions based solely on automated processing that have legal or similarly significant effects.
To use any of these rights, contact us through the contact form. We will reply within one month, and we may need to confirm your identity first. For complex or numerous requests we can extend this by up to two further months and will tell you why. There is normally no charge. If you complain to us about how we use your data, we will acknowledge your complaint within 30 days and tell you the outcome without undue delay.
If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator, at ico.org.uk or on 0303 123 1113.
10. Cookies and storage
- Our website uses analytics cookies, which are on unless you turn them off, and no advertising or cross-site tracking cookies. You can change your choice any time with Cookie settings in the footer or on our opt-out page. Full details are in our Cookie Notice.
- Our web portal uses only strictly necessary cookies, to keep you signed in and remember your language. It also stores your preferences, such as your selected track, in your browser.
- Our apps store your sign-in securely on your phone, along with your Pit Kit data and preferences, so they work offline.
We do not use advertising or cross-site tracking cookies anywhere.
11. Security
We protect personal data with encryption in transit and at rest, access controls, the principle of least privilege, and monitoring. Only authorised people who need access to do their job can see personal data, and they are bound by confidentiality. No system is completely secure, so please use a strong, unique password and keep your sign-in details private.
If a personal data breach occurs, we will report it to the ICO within 72 hours where the law requires, and tell you without undue delay if it is likely to result in a high risk to your rights and freedoms.
12. Changes to this policy
We will update this policy when our Services or the law change, and post the new version here with a new date. If the changes are significant, we will tell you in the apps, the portal or by email.
